Privacy Policy
1. Introduction
This Privacy Policy outlines how Install Pros® (“we”, “us”, “our”) collects, uses, and protects your personal information when you use our website https://installpros.co.uk. Your privacy is important to us, and we are committed to safeguarding your personal data.
2. Scope of our services
We install and support satellite broadband (e.g. Starlink, Project Kuiper), networking, VoIP telephony (handset supply and installation), automatic failover and resilient connectivity, security systems (including CCTV and intruder alarms), audio-visual solutions and managed services. This policy covers personal data we process across all of these.
3. Personal data we collect
- Identity and contact details: name, email, phone number.
- Site details: address, access information, permissions/consents.
- Job data: survey and job notes, photographs, cable routes and configuration details.
- Billing data: payment and account information.
- Technical metadata: network, connectivity and system data needed to install, support and monitor your installation.
- Website data: cookies and similar technologies to improve your experience.
CCTV footage: we do not access or retain your stored CCTV recordings after installation. During installation and testing our engineers may view the live feed only to confirm the system works. You are the controller of all recordings (see section 11). If you take monitored CCTV, footage is accessed by your Alarm Receiving Centre (Farsight) under its own certification, not by us.
We supply and install VoIP handsets but do not operate your telephone service or process your call data (calls, voicemail or recordings); that sits with you and your telephony provider.
4. How we use your data and our lawful bases
- To perform our contract with you — booking, survey, installation, billing and support.
- Our legitimate interests — running and improving our business, quality assurance, training and preventing fraud.
- Legal obligations — tax, accounting and health & safety.
- Your consent — optional marketing and certain communications (e.g. WhatsApp groups), which you can withdraw at any time.
5. Cookies
Our website uses cookies to improve your experience and understand how the site is used. You can control cookies through your browser settings; our cookie banner lets you manage non-essential cookies.
6. Sharing and processors
We do not sell or rent your personal data. We share it only with service providers who help us deliver our services, under appropriate contracts and safeguards, including: our IT/managed-services partner Norwich Cloud (Managed Services and VoIP); Farsight, our Alarm Receiving Centre, for monitored alarm/CCTV services; communications platforms (e.g. WhatsApp/Meta, email); scheduling and accounting systems; payment processors; access-equipment hire; and certified keyholding/response providers where you take those services. We may also disclose data where required by law.
7. International transfers
We process your data in the UK wherever possible. If data is transferred outside the UK, we rely on an adequacy decision or appropriate safeguards (such as the UK International Data Transfer Agreement or standard contractual clauses).
8. How long we keep it
We keep personal data only as long as necessary for the purposes above and to meet legal and accounting obligations. Job records are typically kept for 6 years after completion, unless the law requires longer.
9. Security
We use appropriate technical and organisational measures to protect your data, including access controls, multi-factor authentication on remote access and cloud services, encryption in transit, secure remote-support tooling, and staff confidentiality and awareness. Our managed-services and networking layer is delivered by an IT partner holding Cyber Essentials, under a data processing agreement.
10. Your rights
Under the UK GDPR and the Data Protection Act 2018 you have rights to access, rectify, erase, restrict, object to and port your personal data, and rights regarding automated decision-making where applicable. To exercise these, contact Will Corston — will@installpros.co.uk. We aim to respond within 7 days and, in all cases, within one month (extendable by two further months for complex requests). We may ask you to verify your identity, and may charge a reasonable fee or refuse requests that are manifestly unfounded or excessive.
11. CCTV and audio systems
Where we install CCTV or audio-enabled devices, you are the controller for any recordings; we do not access or retain your stored recordings after installation. You should use signage where appropriate, set retention periods and comply with UK data protection law and any police/alarm-authority guidance. We can provide template signage on request. If you take monitored CCTV, your Alarm Receiving Centre (Farsight) accesses footage under its own certification and terms.
12. WhatsApp
WhatsApp is a third-party platform with its own terms and privacy policy. If you choose WhatsApp support, your data will also be processed by WhatsApp/Meta in accordance with their policies.
13. Complaints
If you have a concern, please contact us first at support@installpros.co.uk so we can put things right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
14. Changes to this policy
We may update this policy from time to time. We will post the current version on our website and, where changes are significant, take reasonable steps to bring them to your attention.
